Leave: EasyPay is not recording the yearly capping forfeit

Why is EasyPay not recording the yearly capping forfeit, and the brought forward forfeit is not displayed in the report?

Access EasyPay only records the Brought Forward forfeit; it does not record the Yearly Capping Forfeit anywhere in the report. This is our system constraint currently.

Example as follows

  1. The company only allows 7 days to carry forward to the next year, and this will be forfeited in July next year.

  2. In the year 2025, the Employee has 10 days of Annual leave balance.


Access EasyPay will only allow 7 days to carry forward.

  • 10 days Annual Leave in 2025 - 7 days capping = 3 days, this will not be recorded in the report.


In the year 2026
An employee has a new entitlement eg, 21 days of Annual Leave and 7 days of carry forward based on the cap from 2025. Company policy is that the employee needs to utilise the 7 days carry forward by the end of June 2026; otherwise 1st July, it gets forfeited.

  • Ent=21 BF=7 Total= 27


In June, employees have only taken 5 days of Annual leave to date. Forfeit comes on 1st July.

  • 7 days BF- 5 days taken in June = 2 days forfeit.


Access EasyPay will only record 2 days of forfeiture, whereas the cycle capping/limit of 3 days will not be recorded.

If you need this report on the yearly capping forfeit, you can complete the following workaround.

  1. Go to Process Leave, and highlight all the Annual Leave.

  2. Click Recalculate.

  3. Click the BF Forfeit Report button.

  4. Use columns J and K in the Excel file to do the formula to get the forfeit amount.

  5. J-K= yearly forfeit.
